Booking a Party

In order to secure your party date, time, and characters, we require a 50% Booking Fee. Your date is not guaranteed until your booking fee has been received. Your deposit must be received within 48 hours or your party will be cancelled in our system and your date and time will be released to the next client. Please note that all parties booked less than two weeks from your party date will incur a “Late Booking Fee”.

Once a party is secured, your performer’s arrival time cannot be changed. Please make sure you schedule your guests to arrive before the entertainment so you can ensure everyone is present. Each Cast Member can perform at anywhere from 4 to 8 parties every day and we pride ourselves on our timeliness, therefore our performers have a very strict schedule to follow and we cannot adjust our arrival time once it has been scheduled in our system.

*PLEASE NOTE: Our single character packages are based on a maximum party size of 15 children for the safety of both the performer and children. If you are anticipating more than 15 children, please consider upgrading your package to a two character package! In the event that your headcount exceeds 15 children with a single character, there is an additional insurance charge of $50 for every additional 10 children over 15.

Performers

While we will always do our best to accommodate Performer requests, we cannot guarantee that a particular performer will be available for your event.

Final Balance

Your remaining balance is due at least 48 hours prior to your event. You will receive a confirmation email on the Monday leading up to your event with a link to make your final payment through our Booking System. If your balance is not received, our performers will be informed that your party is canceled.

If you would like to extend your party time at your event and we are able to accommodate that, your payment must be paid in cash at time of event.

Cancellations & Refunds

Booking Fees are non-refundable. If you must reschedule for any reason, we will work with you to determine an alternate date for your party, however there will be a $100 rescheduling fee to compensate our performer and Royal Attendant for their time and loss of work if your rescheduling request is received less than two weeks from your party date. If you are rescheduling your party for an alternate date, your booking fee is valid for up to six months from your initial party date. After that time, your Booking Fee will expire.

While it is very unlikely (and we have never had to do so before!), we reserve the right to cancel any appearance due to injury of the performer or the performer’s family. In this situation, we will work with you to reschedule your visit to an alternate date.

Character Arrivals

Our character will arrive at the requested appearance time. We try not to arrive early so that all of your guests will be present at your event before we make our appearance. If for some reason, you do not see the character at the event start time, feel free to give us a call. We take pride in arriving right on time! If, for some unforeseeable reason our character is late due to circumstances beyond their control, the character will stay the extended time to compensate for their tardiness.

Safety

An adult must be present in the same area as the character and children throughout the entire event. Parents are welcome to stay and enjoy the performance and activities!

Severe Weather – Outside Parties

While we love to entertain outside, in the event of inclement weather (rain or excessive wind), as well as extreme heat or cold, we will require an indoor space to entertain due to the incredibly high quality of our costumes and wigs and for the safety of our performers. Our performers cannot wear coats, hats, or gloves in order to stay warm during the winter as it ruins the integrity of their costumes & wigs and the cold can be damaging to their voices and health as is extreme heat, therefore we require an indoor (or heated outdoor setting) should weather conditions drop below 60 degrees or exceed 85 degrees.

Guest Behavior

Royal Princess Prep wants everyone to feel safe at events and parties. If our performers feel unsafe for any reason due to a guest’s behavior (hitting, kicking, pulling on wigs or costumes, etc), our Royal Attendant has the right to remove a performer from the party or event immediately. Our performers are not responsible for children’s behavior, and the performer may leave the premises in extreme situations. This includes both physical and verbal situations.

Party Procedures (Food & Beverage)

Please ensure that no foods or drinks that can stain or damage our performers costumes or wigs are present at your event. This includes food items like cotton candy, Cheetos or Doritos, ice cream, or chocolate. If a costume is stained or damaged you are responsible for costs. Cleaning costs run between $50-100 and replacement costs for our costumes run between $2000-10,000 and wigs between $300-900.

Party Activities

Our performers will do their best to get through all of the activities listed under each package, however in the event that the party guests choose to forgo one activity in favor of another, or there are more children than anticipated, the performer is not obligated to complete all activities.

If there is activity you are providing and would like our performers to participate in, please notify us in advance! We want to be sure the activity runs smoothly and will not compromise our character integrity. This will make the visit as magical as possible!

Other Entertainment

When you book with Royal Princess Prep, please let us know if you will be having some other type of entertainment at your event. This helps our characters know what to expect so they can ensure the best performance. Character integrity is very important to us and so we do not appear with other character entertainment companies.

Crediting Royal Princess Prep

If you are a venue or event space looking to collaborate or partner on an event, we must be credited in any and all advertising and posters. We are happy to provide imagery and our logo. Please note that not tagging us in posts or advertising is a violation of our contract; that can lead to a cancellation of our appearance at any time and no refunds will be issued.

Gratuity

Tips for our performers are not included in the price of the party. Your tip will be divided among the performer(s) and the Royal Attendant at the event. Please be sure to give the Royal Attendant any gratuity you wish to give in an envelope so the magic isn’t ruined for the children - we never want little ones to see money exchanging hands.
